This is a remote position.

The ideal Full-time Transaction Coordinator candidate should possess proactive communication skills, the ability to work independently, be detail-oriented, loyal, committed to working hours, and consistently meet deadlines. They should also be a problem solver and open to collaboration.

Responsibilities

  • Manage the full contract-to-close process accurately and efficiently

  • Intake and open new contracts; enter into transaction and compliance systems

  • Thoroughly review contracts and ensure all documentation is received, accurate, and complete

  • Send summaries and updates to agents and clients

  • Communicate with all parties (agents, lenders, title, associations, etc.) via email, phone, and text

  • Follow up to ensure timelines and deadlines are met

  • Handle compliance-related tasks and documentation audits

  • Edit and schedule branded social media templates as needed

Qualifications:

  • Prior experience as a Transaction Coordinator or Assistant TC (required)

  • Background in real estate and familiarity with contracts, documents, and transactional language

  • Excellent written and verbal communication skills

  • Highly detail-oriented, accurate, and organized

  • Proactive, reliable, and capable of managing deadlines independently

  • Strong problem-solving and collaboration skills

  • Able to work effectively in a fast-paced, remote team environment

  • Proven experience working graveyard or overnight shifts

Tools:

  • MLS platforms (e.g., Northstar MLS, general MLS access)

  • CRM & transaction platforms: Follow Up Boss, Skyslope, Dotloop, ZipForms, Paperless Pipeline, Open To Close (OTC), Realty Back Office, and Glide

  • Project management and compliance tools: ReZen, SISU, Asana, Forms R US

  • Communication & productivity: Google Workspace/Suite, DocuSign, Jotform, ShowingTime

Schedule: Monday - Friday, 9:00 AM - 6:00 PM CST
